COVID Appointment Protocol...

Family Vision Care of Ponca City has been actively preparing our office, physicians, and employees to prevent transmission of COVID-19 to themselves, other patients, and visitors.  We are following recommendations of the CDC, WHO, state and local health departments.  We want to share our plan to maintain minimum person-to-person contact once we return to general patient care.
 
If you have an upcoming appointment at Family Vision Care of Ponca City, please carefully read the steps below and follow our directions when you arrive.  Our team will all be wearing masks and we ask that if you have access you bring one with you to wear during your visit.  There is no need to wear gloves, we have soap, water, and hand sanitizer for you to use.
  • When you have arrived in our parking lot, call us at 580-762-5700 to let us know you are here for your appointment.  Our front desk team will get you checked in from the safety of your vehicle.  You will be asked general health questions to rule out the presence of COVID-19 symptoms.  
  • We ask that you text photos of both sides of your insurance card to 580-762-5700.
  • You will then be transferred (via phone) to our tech who will ask questions to obtain your medical history and update your records, again all from the safety of your vehicle.
  • The tech will ask for a description of your vehicle and they will come to the front door to wave you in when they are ready for you to enter the practice for your appointment.
  • We are currently permitting only one caregiver to accompany patients to our office.  We are also requesting anyone that is comfortable to come alone.
  • Your temperature will be checked at the door according to CDC suggestions to check for COVID-19 symptoms.
  • The tech will then escort you directly to either a sanitized testing room or a sanitized exam room, whichever is applicable for your appointment.  Any necessary paperwork will be given to you to complete once you are in a room to minimize the number of people in the lobby.
  • Rest assured that every surface you come into contact with has been sanitized prior to the arrival of every patient entering our practice, and it will be cleaned again as you exit each area.  The team will be frequently washing their hands between interactions as per our usual protocol, and you will see hand sanitizer throughout the practice for your use.
  • If you are wanting to purchase glasses, there is a similar protocol in place to ensure a safe interaction with cleaning of frames and minimal contact with our optical team. Please follow their direction if eyewear is needed.
If you have any questions or concerns, please do not hesitate to call us.  We are currently working an abbreviated schedule with limited staff and are in the practice from 9am-3pm Monday-Friday.

We wanted to give you an update below on the status of Family Vision Care of Ponca City during the current COVID-19 (coronavirus) situation.

Our phone lines remain open 9am-3pm Monday thru Friday, our lobby and optical are currently closed to comply with CDC guidelines.  If you have an order in our lab that needs picked up, we encourage you to call and speak to our staff or leave a message and we will schedule a time for you to do so.  We are also available for emergency eyecare.

We are doing our best to rearrange patient schedules during this time but are currently unsure of when we will be able to return to general eye examinations.  Please call us at 580-762-5700 and we will do our best to work with you. 

Thank you for being our patient during and after these tough times. Your patience is sincerely appreciated.  We will not only get through this, but we will emerge stronger after it!

As our community and state continue to navigate the spread of COVID-19 coronavirus we hope you and yours are in good health during these stressful times.

Family Vision Care of Ponca City will be remain CLOSED March 30-April 3, 2020.  Any patients with appointments during that time will be moved to the next available appointment.  If you are unable to make your new appointment we will attempt to accommodate you as best as we are able.

If you have glasses or contacts you need to pick up please call 580-762-5700 press "0" to leave a message and we will schedule a time for you to pick up your materials!  You can do the same thing if you need to order contacts!

We hope this message finds you and yours healthy as the COVID-19 coronavirus impacts our community. Please note that our office will have limited hours going forward. Starting Friday, March 20, 2020 our weekly schedule will look like this:
Mon. 9am - 1pm
Tue. 9am - 1pm
Wed. 9am - 1pm
Thu. 9am - 1pm
Fri. 9am - 1pm
Sat. CLOSED
Sun. CLOSED

We will also be limiting the number of patients we see during those hours.  We will be reaching out to any patients that have appointments in next couple of weeks and try our best to accommodate as many people as possible.  If you know you have an appointment during the next couple weeks we encourage you to call 580-762-5700 and reschedule.

Our lobby and optical are currently closed.  We are not doing repairs and will deliver materials to patient cars.  All patients that enter the building will have their temperature checked and any temperature over 100 degrees will be immediately rescheduled.
  
IMPORTANT:  Practice Everyday Prevention
  • As you touch people, surfaces, and objects throughout the day, you accumulate germs on your hands. You can infect yourself with these germs by touching your eyes, nose or mouth.
  • Although there is no vaccine available to prevent infection with the new coronavirus, you can take steps to reduce your risk of infection. CDC and WHO recommend following the standard precautions for avoiding respiratory viruses:
  • Avoid close contact with people who are sick.
  • Avoid touching your eyes, nose, and mouth.
  • Stay home when you are sick.
  • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect frequently touched objects and surfaces using a regular household cleaning spray or wipe.
  • Wash your hands often with soap and water for at least 20 seconds, especially after going to the bathroom; before eating; and after blowing your nose, coughing, or sneezing.
  • If soap and water are not readily available, use an alcohol-based hand sanitizer with at least 60% alcohol.
  • Always wash hands with soap and water if hands are visibly dirty.
  • Avoid sharing dishes, glasses, bedding and other household items if you’re sick.
  • Clean and disinfect surfaces you often touch. Stay home from work, school, and public areas if you’re sick.

Firstly, we want to say we sincerely hope you, your friends and family are healthy during these potentially stressful times.

We understand the growing concern surrounding the Coronavirus (COVID-19) across the communities we serve.  The health and safety of our patients, physicians, and staff is our top priority.  Family Vision Care of Ponca City has been actively preparing our office, physicians, and employees to identify possible patients with the COVID-19 virus and to prevent transmission to themselves, other patients, and visitors.  We are following recommendations of the CDC, WHO, state and local health departments.

Based on current guidance and our own standards and practices, we remain open and ready to provide excellent patient care experiences.

Patients with Upcoming Appointments
We are currently permitting only one caregiver to accompany patients to our office.  If you have traveled internationally, traveled on any cruise ship, have been exposed to someone with COVID-19 in the last 14 days, or you are experiencing any of the symptoms listed below, we MUST reschedule your appointment for a future date.
  • Fever
  • Fatigue
  • Cough
  • Shortness of breath
Please call or text our office at 580-762-5700 and our staff will reschedule your appointment.

A Note to Our Higher Risk Patients

As the virus continues to spread, we want to protect and safeguard our most vulnerable patients – the elderly, people with serious chronic medical conditions like heart disease, diabetes, and lung disease.  This includes patients with cancer, organ transplant, immune deficiency, and those on some medications that suppress their immune system.
Elderly and higher-risk patients should consider changing any routine, non-urgent visits to a later date.

Potential Disruptions to Our Regular Schedule

Depending on community trends with COVID-19, offices may reduce patient load or close with short notice.
We will notify you if it is necessary to temporarily close an office.

How is Family Vision Care of Ponca City preparing for COVID-19?
  • We are encouraging sick employees to stay home.
  • We are increasing awareness of all of our staff to be alert for signs and symptoms of COVID-19.
  • Our practices employ proper environmental cleaning techniques.
  • We are practicing safe hand hygiene in our office.
  • We are proactively alerting patients who are ill, exposed to COVID-19 or those who have recently visited high-risk countries to reschedule appointments.
